3. The Information We Collect
Depending on how you use Tenalet, we collect different types of information. We have three main groups of users, and here is what we collect from each one:
Prospective Tenants
To help you rent a home that truly fits you, we may ask for things like your name, date of birth, phone number, nationality, state of origin and marital status. This information is shared with the landlord.
We also collect other details that help landlords understand your rental background such as your renting history, contact details of your referees, criminal or eviction history, lifestyle preferences like whether you plan to move in with a pet, and credit history.
We also ask for some extra information based on your situation. If you are employed, we collect your employment details and earning capacity. If you are a student, we collect your school information and ability to meet rent payments. If you are retired, we collect details about your previous work and income sources.
To verify your income, we also collect your bank verification number. All of this helps landlords make informed rental decisions.
Landlords/Agents
If you are a landlord using Tenalet to manage your renting process, we collect your email, a valid means of identification and basic information about the property you want to rent out. This helps us keep the platform safe, trusted and transparent for everyone.
All Visitors
When you simply browse through our platform, we automatically collect a few things to help the site run smoothly, such as the date and time of your visit, your device's IP address, the pages you visit, how long you stay and how often you return, and your login email address if you log into your Tenalet account. This helps us improve the website experience and keep everything secure.
4. Purpose for Processing Your Data and Lawful Bases
We collect and use your data for specific purposes with lawful bases. Email address is used to set up your profile and communicate with you (Contract). Your name, date of birth, phone number, nationality, state of origin, marital status, and renting history helps landlords understand your background (Consent).
Employment or school details and rent paying capacity are collected to check your ability to meet rent requirements (Consent). Means of identification verifies your identity and reduces fraud risk (Contract). Referees details confirm applicant information (Consent).
Criminal history, eviction history and credit history help landlords assess risk (Consent). Lifestyle details like pets help landlords understand your living preferences (Consent). Bank Verification Number verifies your income and ability to pay rent (Consent). Property details help landlords manage their renting process (Contract). Web analytics data helps us understand traffic patterns and improve user experience (Legitimate interest).
5. Your Rights
You can ask for a copy of the personal information we hold about you. If something is wrong or outdated, you can ask us to update it. In some cases, you can request that we remove your information.
You can ask us to pause or restrict certain types of processing, especially if it involves marketing or anything you're not comfortable with. You can ask for your data in a simple, portable format. If you give us consent for something, you can change your mind anytime.

6. Who We Share Your Data With
We share your data with trusted third parties: Zoho (for emails via Zeptomail and Zoho Marketing Automation), Mono (to verify your income with your permission), Paystack (to process payments), Dojah (to confirm your identity), Credit Bureaus including CreditRegistry and FirstCentral (to generate credit reports), Google Analytics (to understand website usage), Cloudflare (to keep the website fast and secure), and Mixpanel (to understand how people use Tenalet).
7. Retention of Your Data
We only keep your information for as long as we genuinely need it. This depends on why it was collected in the first place. If the information is needed for your rental application, to verify your identity, or to keep your account running smoothly, we hold it for as long as it is necessary for those purposes.
We may also keep some information for a bit longer if the law requires it or if we need it to resolve issues, prevent fraud, or keep proper records. If you stop using Tenalet, we tidy things up and delete or safely archive your information when we no longer need it. And if you're receiving marketing messages from us, you can unsubscribe at any time and we will stop immediately.
8. How Your Data is Kept Secure
We take your privacy seriously, and we do our best to keep your information safe. We use a mix of technical and organisational measures to protect your data from misuse, unauthorised access or loss.
That said, the internet is not perfect. While we put in every reasonable effort to protect your information, we cannot guarantee absolute security. If anything ever goes wrong and we believe it could affect you, we will let you know as quickly as possible and take steps to fix it.
9. International Transfer of Data
Some of the tools and services we use are based outside Nigeria. This means your information may be transferred to or stored in other countries. When this happens, we make sure your data is still protected. We only work with partners who take data protection seriously, and we use safeguards required under Nigerian data protection laws to keep your information safe wherever it goes.
